Job Title: Executive Assistant to the Tynkertopia CEO
Location: Flagstaff, AZ

Salary: $50,000 – $65,000 commensurate with experience

Position Overview:
We are seeking a proactive and detail-oriented Executive Assistant to work in partnership with the Tynkertopia CEO. This position is critical to the efficient operation of Tynkertopia and will provide comprehensive administrative support, ensuring smooth and effective management of daily operations and organizational tasks.
Qualifications:
- Bachelor’s degree or equivalent experience. Additional degree or training preferred.
- Proven experience as an executive assistant or similar administrative role.
- Strong computer skills including proficiency in Microsoft Office Suite, Google Workspace, QuickBooks Online, nonprofit donor management software, and other relevant software.
- Experience in a nonprofit or an educational setting is a plus.
Key Responsibilities:
- CEO Collaboration: Communicate and collaborate systematically with the CEO to support the efficient performance of tasks related to operating Tynkertopia.
- Administrative Support: Assist in schedule management, meeting coordination, correspondences, and organizing events and workshops. Draft letters, emails, reports, and other documents for the CEO. Assist the CEO by attending community events.
- Data Management: Maintain accurate records, update databases, compile data and statistics, and prepare reports, including grants and reports to granting agencies and the Tynkertopia Board of Directors.
- Office Management: Oversee office supplies, equipment, and facility maintenance. Maintain a supply inventory. Ensure a welcoming environment for visitors and staff. Maintain and update contact lists for various stakeholders.
- Social media and Web: Maintain an active and relevant social media presence for Tynkertopia. Assist with updates to the Tynkertopia website.
- Communication: Serve as a point of contact for inquiries, provide information about programs, and facilitate internal and external communication. Exhibit courteous and professional communication via phone, email, mail, and face-to-face interactions.
- Financial Assistance: Support all bookkeeping tasks using QuickBooks Online in collaboration with the Tynkertopia CEO and accountant. Assist in financial record-keeping and inventory management.
- General Scheduling and Coordination: Schedule appointments, maintain calendars, coordinate staff and other meetings, and record minutes of meetings.
- File Management: Create and maintain electronic and physical filing systems. Organize files and keep records related to the office.
- Report Preparation: Assist in the preparation of regularly scheduled reports and maintain attendance records, creating charts to summarize data.
- Additional Tasks: Perform other tasks as assigned, including researching and addressing specific daily and ongoing tasks.
